Upload existing documents to quickly populate your knowledge base. This article explains the document upload process.

Supported File Types

Speako accepts these document formats:

Format Extension Best For
PDF .pdf Menus, brochures, policy documents
Word .docx Text documents, service descriptions
Excel .xlsx Service lists, pricing tables
CSV .csv Data exports, structured information

Maximum file size: 8MB per file

Uploading a Document

  1. Go to AI Config > Knowledge
  2. Find the knowledge category
  3. Click Upload File
  4. Select your document
  5. Wait for processing to complete

Note: Once the document is successfully processed, the extracted knowledge is automatically published and goes live on your AI agent immediately.

Processing Your Document

After upload, Speako:

  1. Validates the file type and size
  2. Extracts text content from the document
  3. Processes the content for your knowledge base
  4. Auto-publishes the information to your agent A progress indicator shows the current status.

Processing Status

Status Meaning
Uploading File being uploaded
Processing Content being extracted
Finalizing Completing processing
Published Live and ready for the agent to use
Failed Error occurred

After Processing

Once processing completes and auto-publishes:

  • Content appears in the knowledge card
  • You should review the extracted text to ensure accuracy
  • You can edit if needed (saving will auto-publish the updates)

Troubleshooting Uploads

File Won't Upload

  • Check file size (max 8MB)
  • Verify file format is supported
  • Try a different browser

Processing Fails

  • Document may be corrupted
  • Content may be in unsupported format (scanned images)
  • Try converting to a different format

Content Looks Wrong

  • Review and edit after upload
  • Some formatting may not transfer perfectly
  • Adjust as needed in the text editor
